Refund, Deferral & Cancellation Policy

  1. Scope & Principles

This policy applies to all tuition fees paid to Excellentia SCM for CIPS qualification study, exam preparation batches, and course delivery. It does not apply to third-party fees paid directly to CIPS or other awarding bodies (see Section 4).

Excellentia SCM is committed to fair and transparent fee management. This policy balances learner protection with operational sustainability and complies with UK study centre best practice, Bangladesh consumer protection law and CIPS Approved Centre requirements.

  1. Tuition Fee Refund & Cooling-Off Period

Timeline: Candidate Action Refund / Policy

Prior to batch start: 30+ days | Cancellation request submitted in writing | Full refund of tuition fee (100%).

Processing within 14–21 business days.

7–29 days before batch start | Cancellation request submitted in writing | 75% refund of tuition fee. 5% administrative cost retention (processing, records, communication).

Deferral to next intake available at no additional charge. |
| < 7 days before batch start.

Cancellation request submitted | No refund. Deferral to next scheduled intake at no penalty (see Section 3). Alternatively, full course credit (100% of fee) valid for 12 months.

After first class session or portal access (whichever first) | Withdrawal request submitted in writing.

Pro-rata refund or full course credit. Calculation: (weeks remaining ÷ weeks enrolled) × tuition paid. Minimum credit retained: 5% administrative fee. Valid for 12 months.

Example: A learner completes 3 of 12 weeks and withdraws. Refund = (9 ÷ 12) × USD 500 = USD 375, minus 5% admin (USD 18.75) = USD 356.25. Alternatively, USD 375 course credit toward a future qualification.

  1. Deferral & Transfer Options
  • One-Time Deferral: A learner may defer to the next scheduled batch at no charge if written notice is received ≥7 business days before batch start.
  • Short-Notice Deferral: Requests made <7 days prior may be accommodated, subject to seat availability. No fee charged.
  • Deferral Validity: Deferred credits are valid for 12 months from the agreed deferral date. After 12 months, credit is forfeited unless a one-time written extension is granted by management (not automatic).
  • Module Transfer: Learners may transfer to a different qualification level if course structure and learner competency permit. Fees adjust pro-rata.
  1. Third-Party & Direct CIPS Fees

The following are NOT covered by this refund policy and are subject strictly to the Chartered Institute of Procurement & Supply (CIPS UK) refund rules:

  • CIPS Candidate Registration & Membership Fees
  • CIPS Examination Entry Fees
  • CIPS Official Study Guides, Digital Portals & Licensed Content

These fees are remitted by Excellentia SCM to CIPS on the learner’s behalf. Once submitted to CIPS, they are non-refundable under CIPS regulations. Excellentia SCM does not retain, hold or control these funds.

Before paying any CIPS fees, learners receive written confirmation of CIPS’s independent refund policy. Tuition and CIPS fees are clearly itemized on all invoices.

  1. Institutional Cancellation
  • If Excellentia SCM cancels a batch due to under-enrolment, instructor illness, or operational emergency, all enrolled learners receive:
  • Full refund (100%) of tuition paid within 14 business days; OR
  • Priority placement into the next available intake, with any fee difference waived.
  • Schedule changes that preserve course content and learning outcomes (e.g. shift from in-person to online delivery due to illness) do NOT constitute grounds for refund.
  1. Hardship & Compassionate Review

Requests grounded in exceptional hardship (certified medical emergency, bereavement of an immediate family member, military service call-up) may be reviewed by the Management Committee. Supporting documentation is required. In verified cases, a pro-rata refund or extended course credit may be granted at management discretion.

  1. Refund Processing
  • All cancellation and refund requests must be submitted via email to ceo@excellentiascm.com with learner name, course details, and reason for cancellation.
  • Approved refunds are processed to the original payment method within 14–21 business days.
  • Third-party charges (bank wire fees, currency conversion) are borne by the learner’s bank, not by Excellentia SCM.
  • A refund confirmation is issued by email.
  1. Non-Refundable Items
  • Downloaded or printed study materials, once access is granted or materials are dispatched.
  • Live tuition hours delivered, recorded sessions viewed, and mock examinations sat.
  • Administrative services (enrolment processing, learner records, exam booking support) once commenced.
  1. Learner Acknowledgment

All applicants must explicitly confirm acceptance of this policy during registration. An email acknowledgment is retained on file. No tuition payment is processed until written acceptance is confirmed.

  1. Policy Amendment

Excellentia SCM may amend this policy with 30 days’ written notice to all enrolled learners. Amendments apply to new cohorts; active learners retain the terms current at their time of enrolment.
